SETTING REQUIRED
Please enable the following system setting:
Allow quote split into multiple orders |
Overview
When a quote gets approved and goes into the order fulfillment process, different products may need to be shipped to different locations, invoiced to different billing accounts, or the services are started at different times. In these cases, the quote needs to be split into different orders, each order has some of the quoted line items included.
Nue supports both Quote Split and Order Split use cases.
Quote Split
For companies selling or leasing physical goods bundled with services, oftentimes after a Sales Rep creates a quote, the quote needs to be split into smaller groups of product lines (‘line buckets’), so that each group of products can be billed and shipped separately.
Order Split
Even after a quote is finalized into an order, the order may be further split into smaller orders. By splitting an order, you can better manage inventory, shipping, and align the activation and provisioning of the subscription services with the shipping of the physical goods. For example, if certain products are not in stock at the time the order is placed, you can split the order so that the in-stock products can be shipped immediately and subscription services provisioned accordingly.
How It Works
Users can split a quote or order into Line Buckets, before finalizing each line bucket into an order.
A user can define line buckets with different service provisioning, billing, shipping, or custom information, and then place line items - Quote Line Items or Order Products - into different buckets. After everything looks good, the user can finalize and activate each bucket into a new order.
Chloe created a quote that contains 10 medical devices, each having 5 user licenses. She wants to split this quote into 3 smaller orders with different shipping locations.
Alex is notified that a quote is created, approved, and may have been split into multiple buckets. He wants to review the quote and the buckets. He adjusts the product lines in each bucket, and adjusts the billing and shipping information in each bucket, before finalizing each bucket into an individual order to prepare for shipping and service provisioning.
Use Cases
Split a quote into orders
The following video shows how to split a quote into orders:
A customer has subscribed to some services with additional training classes, since they have a different department managing all company’s training budgets, they want to separate the payment processes for the subscriptions and the training classes. In this case, they can split a quote into multiple orders based on different billing information. Let’s walk through the example below:
Step 1: Sales Rep Chloe creates a quote and adds the products the customer is purchasing
- Nue Platform: 20 user licenses, starting from 2023/01/01, with a 1-year subscription term
- Nue Training Class: 5 related training classes, available on the same day
Step 2: On the Split Line page, the default bucket will have the same billing information populated on the quote, Chloe creates a new bucket with different billing information for Nue Training Class, and drag it into the new bucket.
Step 3: After finalizing and activating the buckets, Chloe can see that there are two separate orders generated for the customer
Step 4: Now Chloe is able to generate separate invoices for each order and send them to different billing contacts in different departments of the customer.
Split an order into smaller orders
The following video shows how to split an order into smaller orders:
A customer wants to buy some physical equipment with related software licenses, the quote gets approved after the price negotiation. Before activating the order and subscription for the customer, the deal desk finds out that the customer has two different shipping addresses for the purchased equipment, and the local engineers couldn’t complete the installation of all equipment on the same day. In this case, the deal desk can split the order into sub-orders, and then start the services on different dates for different locations. Let’s walk through the example below:
Step 1: Sales rep Chloe creates a quote with the following products and services
- Medical Device Subscription with Medical Installation Fee: 5 devices starting from 2023/01/01 with a 1-year subscription term
- Software License: 20 user licenses per month with a 12-month subscription term
Step 2: After negotiation with the customer, the quote gets approved by her manager Bob, and then Chole finalizes the quote to a draft order
Step 3: Before activating the order, Robert from the Deal Desk finds out that the customer needs to install the equipment in two different places. So he splits the Medical Device Subscription into two lines with quantities 3 and 2, and then put them in different line buckets which have different shipping addresses and service start dates
Step 4: After the equipment gets installed, Robert finalizes the buckets into orders. And now both he and Chloe can view the medical device subscriptions for different locations from the customer’s lifecycle page
Medical Device Subscription installed on 2023/02/01
Medical Device Subscription installed and Software Licenses provisioned on 2023/01/01
If Billing Schedules are configured, invoices will be generated for the billing cycles aligned with the Start Date of order products. Users can review the invoices in the Lifecycle Manager, and activate the invoices.
Split a line into multiple buckets
When you split a product line into multiple buckets, different types of the product lines may behave differently.
Standalone Products
For a standalone product, you can split the line into multiple buckets by its quantity, or drag the entire line to a different bucket.
Bundle Products
For a bundle product with options connected to the bundle’s quantity, when split the bundle line item, all options will be split together with the bundle line accordingly. When you drag the bundle to a different bucket, all options will go with the bundle, and you are not allowed to put the option itself into a separate bucket.
For example, the Device Installation Fee is connected to the Medical Device Subscription’s quantity, when you split the Medical Device Subscription to 3 and 2 into different buckets, the Device Installation Fee will be split to 3 and 2 automatically
Check the setting ‘Connect to bundle quantity’ for the production options when building your bundle products
Add-on Products
For product options not connected to the bundle quantity, when split the bundle line item, the options(both bundled and add-on) won’t be split, and they will stay in the bucket, you can split them manually into different buckets or drag them to another buckets.
For example, the Promotional Minutes is not connected to the Software License’s quantity, when you split the Software License to 15 and 5 into different buckets, the Promotional Minutes won’t be split and will stay in the bucket with 200 quantity, you can manually split it. You can also drag the entire Promotional Minutes line into another bucket, if the bucket doesn’t have the bundle Software License, the Promotional Minutes will be changed to a standalone product, otherwise, it will still be under the Software License as an add-on product
Usage Products
For usage-type products, usually, the quantity is 0 when you place an order since it will be billed in arrears based on the consumption of the service. When you split the usage type line, you can specify the quantity to be 0 in each bucket. If you want to remove a line from a bucket, either drag it to another bucket or delete the line from the bucket on the split line popup window.
Products with Included Units
For a product with included units, when you split it, you are able to see an additional column Included Unit on the split line popup window and you can set the included units in each bucket for the split lines.
Split a quote into buckets with different sales accounts
In certain scenarios, users may want to split a quote into buckets, each having a different sales account and/or billing account. For example, if a customer operates multiple entities or subsidiaries, each with its own billing and sales structure, you may need to split the quote into multiple orders. For example, a parent company may place a large order, but the individual line items need to be billed to different subsidiaries or departments, each with its own billing account and sales account.
To update the Sales Account and/or Billing Account for each split bucket, please follow the steps below:
- Click the ‘Edit’ icon for the respective bucket.
- In the “Account” field, the default account is set to the one associated with the quote. You can modify this by selecting a different account.
- In the “Billing Account” field, the default billing account is set to the one associated with the quote. You may change this to a different account, which can either be related or unrelated to the selected sales account.
- Click “Save and Close”.
- Once the order is activated, the order’s Sales Account and Billing Account will automatically inherit the values assigned to the respective bucket’s Account and Billing Account.
Advanced Configurations
System Settings
After enabling the quote split feature, you can configure the following system settings to determine the behavior when finalizing a quote with draft line buckets:
Option 1: Automatically finalize all draft line buckets into individual new orders
- When a quote is finalized, Nue automatically finalizes all draft line buckets into individual new orders.
- This is the default option.
- Please note that in this option, the quote is not going to be finalized into an order itself. As a result, only line buckets will be finalized (and activated) into individual orders
Moreover, if the following system setting is enabled, the orders generated from line buckets will also be activated automatically.
- Automatically finalize primary quote into an active order when the opportunity reaches stage ____
Option 2: Finalize the quote into a new order, and copy all draft line buckets into the order
- If this option is enabled, when a quote is finalized, if this quote has one or more draft line buckets (i.e., buckets that haven’t been finalized) that are not empty, the buckets will be carried over to the finalized order.
- Users can adjust, edit, finalize and activate line buckets of the order. All business logic will be the same as that of quote.
- Use this option if you need to further split the order after a quote gets approved.
Object Mapping
By default, the standard fields between Line Bucket and Order/Quote objects will be mapped.
For example, the Billing Account field of Line Bucket will be mapped to the Account ID field on both Order and Quote objects. When you create a new bucket from a quote, the Account ID associated with the quote will default to the Billing Account of the newly created line bucket. After you finalize the bucket to order, the Billing Account will be carried over to the order’s Account field.
Enable the following setting to map the fields with same API names:
- Automatically map fields with the same API names between the two objects
Additional Notes
The Split Quote feature currently has the following general known facts and limitations:
- Line items with ramp lines are not supported. If a line has term-based price tags, it cannot be split into multiple lines anymore.
- Change line items are not supported. When you checkout any subscription changes to a quote or an order, the change lines are not allowed to be split.
Put It All Together
In conclusion, the Quote and Order Split can help organizations optimize their sales processes by enabling the creation of a single quote split into multiple orders for further processing, provisioning and fulfillment. In Nue, this feature is implemented with intuitive process flows and object models, making it easy to use for even the most novice of users.
