Quote Approvals

 

Nue leverages the Salesforce approval workflows to automate the approval process. Automated approval processes can save time and improve efficiency by eliminating the need for manual approvals.

 

In this tutorial, we will walk through how to use Nue’s package to determine when an approval is needed, and then use the Salesforce approval process to define who to assign the approval request to.

Overview

 

Nue supports Quote Line Item approvals. This means that each line item on your quote can be flagged for approval based on the discount threshold.

 

For example, in the use case below, any line item with a discount percentage greater than 11% will be flagged with “Approval Required”.

 

 

Once the Quote is saved, the Quote will be set to “Approval Required” status.

 

 

The Salesforce Approval Workflow can then be leveraged to submit the quote for approval and send a notification to the approver.

 

 

Step 1: Install the Nue Approval Package

Click on this link to install the Nue Approval Package. Note that Salesforce cannot package approval processes (as of today Dec 2022), so this package includes only the custom field, flows, as well as an approval email template.

 

This unmanaged package contains the following:

 

  • Custom Field ‘Approval Required’ in Quote Line Item Object
  • Flow ‘Quote Line Approval’ Flow
  • Email Template which can be referenced in the Salesforce Approval Process

Step 2: Activate ‘Approval Required’ Quote Status

 

After installing the package, there will be a new quote status picklist value, ‘Approval Required’. Activate this picklist value for the flow to work.

 

Login to Salesforce, and go to Setup → Object Manager → Quote → Fields & Relationships → select Status field. Activate the ‘Approval Required’ picklist value.

 

Step 3: Setup Salesforce Approval Flow

 

Next, follow these Salesforce steps to set up an Approval Process.

 

  • Go to Setup → Create → Workflow and Approval → Approval Process
  • Select the Quote Object
  • Click Create New Approval Process
  • Select the Standard Setup Wizard
  • Enter a unique name and description for your approval process
  • Create the approval steps
  • Use the entry criteria of Status = ‘Approval Required’
  • Use the email template ‘Quote Approval Template’
  • Select the approvers
  • Save the approval process

Once the approval process is complete, you can start submitting quotes for approval. To do this, follow the steps:

 

  • Open the quote you want to submit for approval
  • Click on the Submit for Approval button
  • Click Submit

The approval process will then be triggered and the approvers will be notified. Once all the approvers have approved the record, it will be updated to the appropriate status.

 

Here are some additional tips for using Salesforce approval workflows:

 

  • Use the Standard Wizard to create a basic approval process quickly and easily.
  • Create custom approval steps to control the flow of the approval process.
  • Use the Process Automation Settings page to configure email notifications and other settings for approval processes.
  • Use the Approval History on the quote to view the status of the approval process.

Email Template

 

Use the Quote Approval Template in your Approval Process. The template can be edited in the Setup → Classic Email Templates.

 

 

This email template can be modified based on your requirements.
