the same steps described in this document also apply to generating pdf versions of both invoices and credit memos this tutorial provides step by step instructions on how to configure invoice and credit memo templates, generate pdfs, and send them to customers for payment revenue operations can generate, preview, and send invoices and credit memos directly from within the nue application they can view the invoices and credit memos in html, and download them as pdfs additionally, they can send emails to customers with pre configured templates and share secure, time limited magic links for notifications and payments admins have the ability to create and customize templates for invoices and credit memos, set dynamic filters for line items, and configure permissions to manage access they can also enable email notifications and manage email templates to allow online payment from their customers let's get started! configure invoice pdf settings permissions required invoice management manage invoice template this permission is required for users to create and edit invoice templates view invoice template this permission is required for users to view invoice templates credit memo management manage credit memo template this permission is required for users to create and edit credit memo templates view credit memo template this permission is required for users to view credit memo templates configure invoice template administrators have the ability to create and manage invoice templates using prebuilt designs there are two default templates available "friendly" and "classic " both templates provide a detailed layout that includes an invoice header, billing and shipping details, contact information, line items, pricing, tax calculations, payment terms, and a usage section admin users have several customization options for tailoring these templates, including updating the company logo, which automatically adjusts the template’s default color theme refining the color themes as needed customizing the field layout within the invoice line items section adding or modifying filtering conditions for the invoice line items section adding new components (field, text, section, image, page break) to the template removing predefined components as necessary additionally, admin users can add a watermark to the invoice template and use it for certain invoices for instance, the previewed invoice pdf can display a 'draft' watermark for invoices in 'draft' status additionally, admin users can configure a component's visibility in the template builder by default, any component added to the template will always appear in the generated pdf however, admins can change the visibility setting of a component to "conditionally" and set filter conditions accordingly, allowing it to be hidden for specific invoices for example, the terms and conditions can be hidden for draft invoices but will be displayed for invoices with other statuses these options enable administrators to create professional, personalized templates that meet their specific business requirements additionally, administrators can create multiple invoice templates to suit various use cases they can begin by copying the "friendly" or "classic" templates or duplicating an existing one newly copied templates are created with an “unpublished” status, allowing users to make changes such as updating logos, customizing section layouts, and configuring filtering conditions for invoice line items templates can also be renamed to reflect their purpose, such as one template for standard invoices and another for proforma invoices or resellers all changes are automatically saved admins can preview the template using the most recent 10 invoices to ensure accuracy once finalized, templates can be published, making them read only and immediately available for the revops team to generate invoices published templates cannot be edited directly; they must be unpublished first for modifications to take place additionally, admins can set one template as their system default, with only one default template allowed at a time, and the system default template will be used to present an invoice when viewed from the invoice detail page only published templates can be marked as favorites configure email template adminstrators are able to enable the email notifications to inform the customers when their invoices are ready for payment by default, the prebuilt email template 'invoiceemailtemplate' will be used for the emails sent to the customers follow the steps below to locate and customize the email template used to send invoice pdf to customers login to salesforce and navigate to settings seach for classic email templates in the settings menu, and click to open classic email templates select folder "nue template templates", and click to open invoice email template customize the email template as needed or create new email template and configure it to the email notification setting note the send email functionality requires the order primary contact associated with the account to be available and have a valid email address otherwise, the email notification won't be sent automatically invoice presentation once the system's default invoice template is configured, the revenue operations user can view the invoice, download it as a pdf file, and send an email notification to the customer view invoice in nue on the invoice detail page, users can see an 'invoice pdf' button by clicking this button, users can preview the invoice pdf, which will open in a new browser tab using the system's default template users can download the invoice as a pdf file and send it to the customer if needed alternatively, they have the option to send it directly to the customer using a pre configured email template by clicking the email icon located in the top right corner when an invoice is activated, a smart link will be generated and stored in the invoice pdf field users can choose to share this link with the customer, allowing them to view their invoice online through this smart link view invoice in email notification when customers receive their invoices via email—either through automatic notifications or manually sent by the revops team—they will see the invoices formatted according to the configured email template customers can view the details of their invoices by clicking the 'view invoice' button and can also download the invoice as a pdf file if a payment system, such as stripe, is connected to the nue application, customers have the option to pay their invoices directly from the email notification by clicking the 'pay invoice' button credit memo template administrators can also create and manage credit memo templates if the 'credit memo' is enabled in their organization currently, there is only one default template "friendly" available they can customize templates that meet their specific business requirements by copying the "friendly" template or duplicating an existing one, and the credit memos will be presented based on the configured system's default template users can preview the credit memo pdf on the details page, and once the credit memo is activated, a smart link will also be generated
