Co-Term Subscriptions

Co-Term Subscriptions

Subscription co-term refers to the practice of aligning the expiration dates of multiple subscriptions so that they all expire at the same time.

 

Subscription co-term simplifies the process of managing multiple subscriptions in that: 

  • It streamlines renewal processes: Multiple subscriptions of a customer would be renewed at the same time.  This helps Customer Success Managers to better plan for renewal and upsells.
  • It simplifies invoicing, accounting, and financial reporting. This can help companies to better track their recurring financial operations and maintain accurate financial records.

Nue makes Subscription Co-term extra easy.  This article outlines 5 common co-term scenarios and step-by-step instructions for each scenario.

 


 

#1. Mid-term Changes

Scenario: Customer wants to add more units in the middle of the subscription term, and the additional units need to be co-termed with the original units.

 

With Nue, when you add new units to an existing subscriptions, the added units are automatically co-termed with original units of the subscription.  You can follow the steps in this article to upsell subscriptions with co-term.

 

#2. Co-term Upon Cross-Sell

Scenario: Customer has a subscription X.  They want to add a new subscription Y that starts on a different day, but co-term with subscription X.

 

When you add a new product with Recurring revenue model into a quote or order, Nue checks if the same customer already has one or more subscriptions.  If the customer already has subscriptions, you will have the option to co-term with an existing subscription.  

 

For example, customer Sharper Revenue has subscribed to 10 licenses for product VROOM PRO, with start date 01/01/2023 and end date 12/31/2023.  On 05/01/2023, Sharper Revenue wants to add a new subscription for 5 licenses of product VROOM BASIC for a smaller team that co-terms with VROOM PRO.

 

You can follow the steps below.  

  • In Nue on Salesforce, create an opportunity.  On the opportunity detail page, click 'New Quote'.
  • Fill up the quote information, set the Quote Start Date as 05/01/2023, and click 'Save and Next'.
  • In the Select Products panel, search for VROOM BASIC, and drag the product into the line editor.  
  • Nue detects that there is another subscription VROOM PRO that ends on 12/31/2023, and asks if you want to co-term with this subscription.
    • By default, there will be no co-term.

  • You can select the subscription VROOM-PRO to co-term with, and click 'Confirm'.
  • Now VROOM-BASIC will be added to the Line Editor with the Subscription End Date set to the same end date of VROOM-PRO.

#3. Co-term Upon Extension

Scenario: Customer has a subscription X and a subscription Y that end on different dates.  They want to extend subscription Y to co-term with subscription X, so that both subscriptions can be renewed together.  

 

For example, customer Sharper Revenue has 2 subscriptions, VROOM PRO and VROOM BUSINESS that start and end on different dates.  

  • VROOM PRO ends on 12/31/2023
  • VROOM BUSINESS ends on 04/30/2024

Customer wants to extend VROOM PRO to co-term with VROOM BUSINESS, so that both subscriptions can renew together.  

 

You follow the steps below to extend VROOM PRO while co-terming with VROOM BUSINESS.  

  • Click 'Update Term' of VROOM PRO.
  • In the Update Term popup, you have the option to add or reduce term, or co-term with existing subscriptions of the same customer, e.g., VROOM BUSINESS.
  • Select the option to co-term with VROOM BUSINESS that ends on 04/30/2024. Click Confirm.
  • Now the co-term request is added to the change cart. 
  • As usual, you can checkout the change cart into a quote or an order.  

 

  • In the Line Editor of the change quote or order, you can see that a co-term change line is created with the added term.  
    • The Summary Line shows that the Subscription Term is extended to 04/30/2024.
    • The Change Line has Change Type set to Coterm, and contains changes for the added term from 01/01/2024 to 04/30/2024.
  • When you close won the opportunity, or activate the order, the subscription VROOM PRO will be versioned with the subscription term extended to 04/30/2024.

 

 

 

#4. Co-term Upon Renewal

Scenario: Customer has a subscription X and a subscription Y that end on different dates.  They want to renew both subscriptions together, but co-term the renewals to the same date.

 

For example, customer Sharper Revenue has 2 subscriptions, VROOM PRO and VROOM BUSINESS that start and end on different dates.  

  • VROOM PRO ends on 12/31/2023
  • VROOM BUSINESS ends on 04/30/2024

The customer wants to renew both subscriptions for another year, but at the same time, want to co-term both subscriptions to the latter subscription end date after renewal. In this case:

  • VROOM PRO will renew till 12/31/2024
  • VROOM BUSINESS will renew till 04/30/2025

Customer wants to co-term both to 04/30/2025 upon renewal.  

 

This looks complex.  But you can follow the simple steps below to accomplish the goal.  

  • Click Renew on VROOM BUSINESS. Renew for 12 months. Click Confirm
  • Click Renew on VROOM PRO.  Renew for 12 months. Click Confirm. 
  • Now the Change Cart contains both renewal requests.  Click Checkout.
  • As usual, you can checkout into a quote or an order.  
  • In the Line Editor, you can see that both subscriptions are being renewed for 12 months.  
  • Now click into the End Date, and set the End Date to be 04/30/2025.
  • You are asked if you want to co-term all subscriptios in this quote to 04/30/2025?
    • If you respondYes, then all recurring line items in the Line Editor will have End Date set to 04/30/2025, and the Subscription Term will be recalculated from the Start Date.

 

  • Click Yes.  You can see that both renewal change lines are co-termed to 04/30/2025.  The subscription terms and prices are recalculated accordingly.  

 

#5. Bulk Co-term

Scenario: Customer has a series of subscriptions created separately in the past.  They would like to co-term them together to a specific date.

 

You can follow the steps below: 

  • In the Lifecycle Manager, navigate to Subscriptions. 
  • Click List View next to the Grid View.  In the list view, all subscriptions of this customer are displayed.  
  • Select one or more subscriptions in the list, and click 'Co-Term' in the batch actions.

 

  • In the Co-term Popup window, select the co-term date. Click 'Confirm'
  • This adds the co-term requests for all selected subscriptions into the Change Cart.
  • Checkout the change cart into a quote or an order, as usual.
