Template Quotes
Quote Templates are predefined quotes that are designed to simplify and expedite the quote creation process by providing predefined templates that can be easily customized.
These templates typically contain preselected combination of products, services, quantities and term definitions. By utilizing quote templates, businesses can save time and effort by avoiding the need to manually recreate quotes from scratch for repetitive or standard offerings.
Overall, the primary benefits of using quote templates are:
- Time savings: quote templates eliminate the need to start from scratch for each quote, enabling sales teams to generate quotes rapidly and efficiently
- Standardizations: by defining common combinations of products, services, quantities, and terms, quote templates promote consistency and uniformity across quotes
- Accuracy: with predefined quotes, there is less room for errors or missing information, leading to more accurate quotes
How to Create a Template Quote
Step 1: Create the Template Quote
Creating a Quote Template is done simply checking the box “Make this a template quote” on the first step of creating a new quote.
As with any quote, you will need an Opportunity to be created. It’s best practice to create a ‘Template Account’ and ‘Template Opportunity’ that will manage all templates quotes.
Any user can create a Template Quote. If a Sales Rep wants to create their own template quote, they can do that, however, the template quote will be available to everyone in Salesforce.
The Quote Name will be the name of the Template, so you may want to give it a descriptive name (e.g. Enterprise Template Quote) so that it is easy to search.
When you click on ‘Save and Next’, you will be taken to the Quote Line items.
Step 2: Add Products
Now you can configure the Quote with exactly the product combination, quantity, term and discount that you want.
Discount values, term, quantity, etc. will be saved as part of the Template quote.
How to Use a Template Quote
When creating a new quote, you can search for Template Quotes in the search field:
The second step will automatically populate the quote using the values in the template. Note that the start date will still maintain the current start date.
Best Practices in using a Template Quote
Here are some best practices in managing template quotes:
- Naming Convention: It’s best practice to give a descriptive name for a Template Quote so that it is clear what the template is intended to represent. Additionally, it’s good practice to include the name ‘template’ (e.g. Enterprise Subscription Template Quote) so that you can query on all the template quotes.
- Account and Opportunity: You may want to create an Account and Template that will store all the templates quotes that you create. This will make it easier to manage and maintain the template quotes.
