Billing and Collections Dashboard

The Biling and Collections dashboard provides a comprehensive overview of financial transactions and invoice management within the organization. It includes key charts such as total invoiced amounts, total received payments, and invoice aging analysis.  Users can use these charts to effectively monitor billing performance, track cash flow, and optimize collections strategies to ensure financial health and stability. 

 

This document will provide you detailed information of each chart and report in the dashboard.  

 

The data used in the booking dashboard is primarily from the following objects: 

  • Accounts
  • Orders and Order Products
  • Invoices, Invoice Items and Invoice Item Details
  • Credit Memos, Credit Memo Items and Credit Memo Details
  • Payment Applications, Payment Application Items

All charts and reports within the Pipeline Dashboard can be additionally refined using the Revenue Signature components provided at the dashboard's top section, which include Time Frame, Billing Account, Customer.

 

NOTE "Customer" refers to the Sales Account associated with a transaction, indicating the entity to whom the sale is made. "Billing Account" refers to the entity to which invoices are sent. While these two accounts may often be the same, it's important to note that they can differ, particularly in cases of complex account structures.

 

What is Revenue Signature?

 

The Revenue Signature is a collection of revenue-related attributes containing elements such as Account, Product, Team, Time Frame, Pricebook, and others. These attributes serve as criteria for categorizing and grouping financial transactions, including orders, invoices, payments, and revenue transactions. By utilizing the Revenue Signature, organizations can organize and analyze their financial data more effectively, enabling better insight into revenue streams, customer behavior, and overall financial performance.

 

The default timeframe used by all charts on the dashboard is set to "1 year ago to end of today" as it helps you to analyze the Billing and Collection activities in the most recent year.  This filter value targets the Transaction Date of each transaction type.  

 

What is a Nue Transaction

n Nue, a transaction is any monetary activity with financial significance, such as purchasing an order product, generating an invoice item, issuing a credit or debit memo item, or applying a payment. Each transaction includes essential details like the Transaction Date, Transaction Amount, Transaction Amount Without Tax, and Transaction Currency. These transactions are pivotal for tracking financial activities within the system.

Additionally, transactions can be seamlessly integrated with revenue recognition systems or General Ledger (GL) systems to facilitate revenue recognition and accounting processes, ensuring accuracy and compliance with financial standards.

 

In Nue Analytics, we normalize order products, invoice items, credit memo items, debit memo items, and payment application items into distinct booking, billing, and cash transactions. These standardized transactions are then used to generate the AR Transactions report, providing insights into accounts receivable activities.

Total InvociedKPI

The "Total Invoiced" KPI chart provides a snapshot of the total invoice amounts issued to customers within the current month.  

 

The total invoice amount is aggregated from all invoice transactions, including invoice items from active invoices, with Transaction Date occuring within the current month.  

 

Additionally, it offers a Month-over-Month (MoM) comparison, showcasing the change in total invoiced amounts compared to the previous month. This comparison is presented within the timeframe specified at the dashboard level, offering valuable insights into the invoicing trends and performance over time.

Total CreditedKPI

The "Total Credited" KPI chart provides a snapshot of the total credit memo amounts issued to customers within the current month.

 

The total credited amount is aggregated from all credit memo transactions, including credit memo items from active credit memos, with Transaction Date occuring within the current month.  

 

Additionally, it offers a Month-over-Month (MoM) comparison, showcasing the change in total credited amounts compared to the previous month. This comparison is presented within the timeframe specified at the dashboard level, offering valuable insights into the invoicing trends and performance over time.

Total ReceivedKPI

The "Total Received" KPI chart offers a quick overview of the aggregate payment amounts applied to invoices within the current month. This calculation is based on the total of payment application items, where the Applied Date falls within the current month.

 

Furthermore, the chart provides a Month-over-Month comparison, illustrating any fluctuations or changes from the previous month. This comparison helps in understanding the trends in received payments over time.  

Total Amount OverdueKPI

The "Total Amount Overdue" KPI chart provides an overview of the cumulative invoice balance that has exceeded its due date. This total is aggregated from the balances of all invoices with due dates earlier than today.

 

For more detailed analysis, users can utilize the "Invoice Aging Analysis" table, which breaks down overdue amounts into 30, 60, and 90-day periods. This feature enables users to identify and manage overdue invoices effectively, facilitating better financial management and decision-making.

Invocie Aging AnalyisPivot Table

The "Invoice Aging Analysis" report offers a comprehensive breakdown of overdue invoice amounts into distinct periods of 30, 60, and 90 days. This analysis provides a detailed overview of outstanding invoices categorized by the length of time they have remained unpaid.

 

In the report, by default we show the balances of overdue invoices with transaction date from the beginning of last year to end of day today.  

 

By segmenting overdue amounts into these time intervals, users can gain insights into the aging of outstanding invoices and prioritize collections efforts accordingly. This allows for better management of cash flow and financial resources, as well as proactive measures to address potential liquidity issues. Additionally, the report facilitates tracking and monitoring of payment trends over time, enabling organizations to optimize their accounts receivable processes and improve overall financial health.

Total Overdue AccountsColumn

The "Total Overview Accounts" provides a comprehensive overview of the top 10 billing accounts with the highest overdue amounts. This selection contains invoices dated from the beginning of the previous year up to the current date.

 

By highlighting the billing accounts with the most substantial overdue balances, this report enables stakeholders to identify and prioritize collection efforts effectively. It offers valuable insights into the accounts that require immediate attention to mitigate financial risks and improve cash flow management.

 

Users can use the "Top Billing Accounts" control to change the top selections, for example, only show the top 5 overdue accounts.  

AR TransactionsPivot Table

The "AR Transactions" table offers a comprehensive and detailed view of account receivable activities within the organization on a monthly basis. It provides a consolidated overview of various financial transactions, including invoices, credit memos, payments, and refunds received, along with their aggregated totals.

Monthly Transaction TotalColumn

The "Monthly Transaction Total" chart provides a summary of transaction amounts across all types of financial activities on a monthly basis. It includes data from various transaction types, such as invoices, credit memos, payments, and refunds, with transaction dates occurring within each month.

 

By consolidating these transaction amounts into a single table, users can easily track the total volume of financial activities within their organization on a monthly basis.
